Short Stay Accommodation Terms & Conditions

  1. Agreement & Definitions

1.1 These Terms and Conditions (“Terms”) govern all reservations, bookings, and agreements for short-stay accommodation and holiday lettings (stays of less than 60 days) made by you (“the Guest”, “Customer”, “Client”, “you”, “your”) with Gravity Co-Living and/or any of its Subsidiaries (“Gravity Co”, “Operator”, “we”, “our”, “us”).

1.2 By making a booking, you agree to be legally bound by these Terms. A contract exists once your booking is confirmed by us.

 For bookings of 5 or more units, different policies and supplements apply. You will be contacted directly with further information.

1.5 These Terms govern short‑stay licences for stays of less than 60 days. Stays of 60 days or more will be offered under a separate tenancy agreement and are not governed by these Terms. Nothing in these Terms shall be construed so as to grant exclusive possession of the property to the Guest.

  1. Booking & Payment

2.1 Rates & Currency: All rates are quoted for the entire stay, are subject to availability, and are inclusive of VAT at the prevailing rate. We are a cashless business and accept major credit/debit cards.

2.2 Payment: Full payment is required at the time of booking unless a specific “Pay Later” rate is offered and selected.

Pay Now Rates: Payment is taken in full at booking.
Pay Later/Flexible Rates: Payment is due during online check-in or upon arrival. The card used for booking must be presented.

2.3 Foreign Currency (FX): If you choose to view or pay in a currency other than GBP, the final amount will be calculated using the FX rate (including our markup) at the time of payment. Indicative amounts shown at booking may change due to FX fluctuations. Refunds will be processed in the original payment currency.

2.4 Security Deposit: A security deposit or pre‑authorisation may be required and the amount (typically between £50–£1,000) will be specified in your booking confirmation. Where charged, the deposit/credit card charge is held for the purposes of covering damage, loss or exceptional cleaning. If these Terms do not give rise to a tenancy, deposits are taken as a contract security. Deductions will be notified to you with reasons and supporting evidence within 14 days of checkout. Refunds (or release of pre‑authorisation) will be processed within 14 days subject to bank processing times. In the event that any statutory deposit protection obligations apply, we will comply with those obligations.

2.5 Identity Verification: You must complete a pre‑check‑in form and present photographic ID matching the name on the booking and payment card at check‑in. The lawful basis for processing this personal data is: (a) performance of the contract and (b) our legitimate interest in ensuring safety and preventing fraud. ID documents will be retained only for the period necessary (normally no longer than 12 months) unless retention is required for legal compliance; see our Privacy Policy for full details. Minimum check‑in age is 21. We may refuse bookings from local residents where objectively justified (e.g., local occupancy restrictions, insurance or licensing requirements); any such policy will be applied consistently and will be explained at booking.

  1. Licence to Occupy & Right of Entry

3.1 Limited Licence: The Operator grants the Client a limited, personal, non-exclusive, and non-transferable licence to enter, occupy, and use the Apartment for the duration of the confirmed booking period (“Hire Period”). This licence does not confer exclusive possession and does not create a lease or tenancy. The Operator retains keys or access codes and reserves rights of access as set out below. The Guest acknowledges that these arrangements are intended to create a short‑term licence rather than a tenancy; where a court determines otherwise, the parties’ rights will be governed by the applicable law.

3.2 Operator’s Retained Rights: The Operator may access the Apartment for scheduled cleaning (where cleaning is included in the booking), reasonable inspection, repairs, maintenance, to remedy breaches of these Terms, or in an emergency. For scheduled cleaning visits that form part of the booked service, the Guest will be notified of the cleaning schedule at booking and no further notice will be required other than reasonable advance information of the specific visit time where possible. For all other non‑emergency access the Operator will give at least 24 hours’ notice and make reasonable efforts to agree a convenient time. The Operator will not exercise any right of access in a way that amounts to harassment. Recovery of possession will be effected lawfully; the Operator will not use self‑help eviction methods where prohibited by statute.

3.3 Recovery of Possession: If the Guest fails to vacate at check‑out or a licence is lawfully terminated, the Operator may take steps to recover possession, including charging additional nights and, where necessary, seeking a court order. Any termination or recovery will follow applicable legal requirements.

  1. Cancellation, Amendment & No-Show

4.1 Cancellation Policy: Your right to cancel depends on the rate you selected, as detailed in your booking confirmation.
Non-Refundable Rates: No refund is given for any cancellation. Full payment is forfeited.
Fully/Semi-Flexible Rates: Cancellations are permitted if made within the specified period (e.g., before 3pm, 48 hours, or 7 days prior to arrival). Refunds will be processed to the original payment method.

4.2 Amendments by Guest: Amendments (e.g., date change) are subject to availability and may incur additional charges. Amendments are not permitted on Non-Refundable rates. All requests must be made in writing.

4.3 Amendments or Cancellation by Us:

Relocation: If we cannot provide the booked accommodation, we may relocate you to accommodation of similar or higher standard in the locality. If the alternative is materially inferior, we will offer either (a) a full refund, or (b) reasonable compensation (for example, reasonable transport costs and one night’s alternative accommodation) in addition to offering a refund or re‑accommodation. We will act reasonably and promptly in any relocation. Any liability arising from relocation is subject to the limits and exclusions set out in clause 8 (Liability & Indemnity).

Cancellation: In exceptional circumstances (e.g., force majeure, safety issues), we may find it necessary to cancel your booking. If this occurs, we will refund any sum you have paid, which shall constitute a full and final settlement of any liability we may have to you as a result of such cancellation.

4.4 No-Show: Failure to arrive or cancel within the policy period will result in the booking being treated as a “No-Show.” For Flexible rates, the first night will be charged. For Non-Refundable rates, the full stay is forfeited.

  1. House Rules & Guest Conduct

5.1 General Conduct: You must behave responsibly, respect the property and neighbours, and keep noise to a minimum between 22:00 and 07:00. Threatening, abusive, or anti-social behaviour towards staff or other guests is prohibited.

5.2 Right to Refuse Entry: Gravity Co reserves the right to refuse a Customer entry and accommodation if, on arrival, Management reasonably considers that the guest is under the influence of drink or drugs, is unsuitably dressed, or is behaving in a threatening, abusive, or otherwise unacceptable manner. Any refusal will be reasonable, non‑discriminatory and recorded with reasons.

5.3 Strictly Prohibited:
* Parties, gatherings, stag/hen events.
* Smoking, vaping, or using e-cigarettes inside any property or in non-designated areas. A deep-cleaning fine of £250 will be charged.
* Use of candles, naked flames, or illegal substances.
* Conducting business without prior written consent.
* Exceeding the maximum occupancy stated in your confirmation.
* Allowing unregistered guests access to the property.

5.4 Compliance: Breach of these rules may result in immediate termination of your stay without refund, retention of the security deposit, and/or additional charges. We reserve the right to refuse entry to anyone deemed unfit. Where termination is exercised we will provide the Guest with written reasons; retention of deposit or additional charges will be proportionate and evidenced.

  1. Property & Liability

6.1 Check-in/Check-out: Standard check-in is from 15:00 and check-out is by 11:00. Late check-out may be available by prior arrangement for a fee. An additional night’s charge applies for departures after 15:00. Late departure charges and any administrative fees will be published on our booking confirmation.

6.2 Cleaning & Damage: The property must be kept reasonably clean and tidy. You are liable for any damage, loss, or exceptional cleaning required due to negligence or misconduct during your stay. Charges will be applied to your security deposit or payment card.

6.3 Guest Property: Vehicles, personal belongings, and items in safes (where provided) are left at your own risk. We strongly recommend you obtain comprehensive travel and personal insurance. We are not liable for loss or damage to guest property unless caused by our proven negligence.

6.4 Facilities: Your stay includes Wi-Fi, utilities, bed linen, and towels. A cleaning service is provided for stays of 7 nights or longer (typically on day 4). Basic toiletries may be provided, but guests are advised to bring their own.

6.5 Health & Safety Compliance: The Operator warrants it will comply with applicable safety and statutory obligations (including gas safety, electrical safety (EICR), fire safety, smoke/CO alarms and furniture and furnishing regulations). Records demonstrating compliance will be maintained. If the Guest considers the property unsafe, they must notify Management immediately. Failure to notify may affect remedy rights.

  1. Pets, Children & Special Requirements

7.1 Pets: Pets are only permitted in designated properties with prior notification and payment of a pet fee (e.g., £35 per week).

7.2 Children: Guests under 18 must be accompanied by an adult. Children under 14 must be supervised at all times. Children under 2 are free but must be accounted for in the booking to ensure compliance with occupancy and safety regulations. For accessibility or reasonable adjustment requests, please contact us in advance; we will make reasonable efforts to accommodate.

  1. Limitation of Liability

8.1 Our total liability to the Guest for all losses arising under or in connection with these Terms, whether in contract, tort (including negligence), breach of statutory duty or otherwise, shall be limited to an amount equal to the total sums paid by the Guest for the booking.

8.2 Except for liability for death or personal injury resulting from our negligence, fraud or any other liability which cannot be excluded by law, we shall not be liable for any indirect or consequential losses, including loss of profit, loss of business, business interruption, loss of business opportunity, or wasted management time.

8.3 Nothing in these Terms shall exclude or limit any liability which cannot be excluded or limited by law.

8.4 The Guest agrees to indemnify the Operator against any liability, loss, damage, cost or expense arising from the Guest’s breach of these Terms, wilful misconduct or negligence (save to the extent caused by the Operator’s negligence).

  1. General

9.1 Complaints: Any complaints must be reported to Management immediately, and in any event within 12 hours of arrival, to allow us the opportunity to resolve them.

9.2 Privacy: Your personal data is processed in accordance with our Privacy Policy, available on our website.

9.3 Third Parties: We are not liable for the acts or omissions of independent third-party suppliers (e.g., activities booked through our site). Where we arrange or contract services on your behalf, we will make reasonable efforts to ensure the third party is reputable; liability will be governed by applicable consumer law.

9.4 Changes to Terms: These Terms may be updated at any time. The version in force at the time of your booking applies.

9.5 Governing Law: These Terms are governed by the laws of England and Wales, and subject to the exclusive jurisdiction of the English courts. If any provision is found invalid, the remainder shall stay in effect.
